Using Scripto and Tagging your Transcript
Scripto is the software we are using to transcribe the documents. It is designed to be as easy to use as possible. When you begin to transcribe you will see:
- A copy of the document you are working on on the left hand side. In the top right corner are four symbols: + allows you to zoom in, - allows you to zoom out, the little house makes it look as it did when you opened the page and the two arrows pointing to the top left and bottom right corners allow you to view the document full screen.
- A box on the top right in which to write your transcription. This box is blank until you or someone else begins to transcribe the document.
- A series of buttons above this box that allow you to tag your transcription (see below)
- A 'save and update' button. This should be used frequently (every time you have transcribed a full line is a good guide)and not just at the end of your transcription
We recommend that you save your work every couple of minutes.
- A box below the one you are working in. this is the 'preview box'. When you press 'save and update' the text you have written shows up in this box. This is much easier to read than the box you work in and should allow you to spot and correct any errors more easily. This box contains two links. the first is [wiki] This will take you to any wikipedia pages linked to the page. there are none at present so you shouldn't need to use this. the second is [history] This will show you the user name of anyone else who has worked on the document and when they did so.
- At the bottom of the page is a discussion/notes box. You can use this to note any issues with the document or the transcription, whether it seems to link to another document or anything you want us, or anyone else working on the document to know.
- 'Save discussion' button. When you click this your notes are saved and will be visible to anyone working on this document
Tagging is a way of highlighting particular parts of the text. It is used:
- To highlight the text's appearance in some way - for instance to show that words are crossed through
- To show that you are in doubt about what a word says or that a word is impossible to read.
- To highlight people and place names for future research
Tagging is essential for two reasons:
- It makes sure each transcript looks as much like the original as possible in terms of layout
- It helps us capture people's names and place names which makes the documents easier to use and search in future.
How to Tag
We've tried to make the process of tagging as simple as possible. When you start to transcribe, you'll see a number of buttons. In order to tag your work, either:
- click the relevant button. This will bring up some text (which will vary according to the tag). Usually there are two sets of brackets that look like this <> <>. You need to transcribe text between the two sets of brackets. For instance, in the case of a date, the 'th' may be superscript, so you would click the button and write:
- write the text, highlight it and click the relevant button. This will add the same tags and make the text look like the example above. For instance, in the case of a date, the 'th' may be superscript, so you would type 'th', highlight it and click the superscript button. The result would be identical to the above.
- Where there is only one set of brackets, for instance to indicate a line break or illegible text, just click the button, you don't need to write anything.
- You can use more than one tag, for instance if a person's name has been crossed out, you would tag it twice. You will need to to use the highlighting method for the second tag
What the tags mean and how to use them
Heading. Use this button whenever the page has a title or other form of heading. When you click this button, you will get the following <head> </head>
Line Break. use this button instead of pressing return whenever a new line is started. When you click this button, you will get the following <lb/>
Addition. Use this button whenever a word has been added in the body of the text, Do this as close as possible to the place in the document where the addition is made. When you click this button, you will get the following <add> </add> NB: see substitution and note
Deletion. Use this button whenever a word has been crossed through but you can read and trasncribe it. When you click this button, you will get the following <del> </del>
Substition. Use this button whenever a word has clearly been substituted for a deleted word. When you click this button, you will get the following <head> </head> NB See addition
Illegible. Use this button whenever a word is impossible to read. This may be because it has been deleted or is just indecipherable. When you click this button, you will get the following. <gap/>
SIC. Use this button whenever a word is obviously spelled incorrectly. Please write the correct spelling in square brackets after the text. This commonly happens in the case of place names and proper names. These can be spelled in a number of ways and it is sometimes difficult to say which is correct. If you are uncertain, or have seen another spelling of a name, you can use the SIC button but make a note in the discussion/notes box of the alternative spelling you've seen. When you click this button, you will get the following: <sic> </sic>
Note. Use this button whenever a word or words have been added outside the main body of text, for instance in the margin. When you click this button you will get the following: <note> </note>
Superscript. Use this button whenever the text is raised above the line. When you click this button you will get the following:<high rend='superscript'>
Unclear. Use this button whenever you are unsure of a word. When you click this button you will get the following: <unclear> </unclear> NB: see illegible
Foreign. Use this button whenever a word is written in any language other than English. When you click this button you will get the following: <foreign> </foreign>
Person. Use this button whenever you find a proper name When you click this button you will get the following: <person> </person>
Place. Use this button whenever When you click this button you will get the following: <place> </place>
